We provide HOA insurance gap analysis through our AI-powered HOA Risk Exposure Report platform at coveryourassetsconsulting.com, as well as in-person consulting and advisory services through thecoverageconsultants.com. HOA Risk Exposure Report Platform (coveryourassetsconsulting.com) When you use our AI-powered report platform, we collect: - Contact information: Name, email address, and HOA/community name provided at checkout - Payment information: Processed entirely by Stripe. We never see, store, or handle your credit card number. - Uploaded documents: CC&Rs, master insurance policies, tax assessor records, and unit owner declaration pages you upload for analysis. These may contain names, addresses, property values, and policy numbers. - Form inputs: Community details you enter (state, unit count, deductible amounts, policy type, etc.) - Session data: A randomly generated session identifier used to link your upload to your report B. Consulting and Advisory Services (thecoverageconsultants.com) When you engage us for in-person consulting services, we collect: - Name, email address, phone number, and organization name - Insurance documents and governing documents relevant to the engagement - Correspondence and communication records C. Website Usage We do not use tracking pixels, behavioral advertising, or third-party analytics that profile individual users. AI PROCESSING DISCLOSURE Your uploaded documents are processed by Claude, an AI model developed by Anthropic (anthropic.com). When you submit documents for analysis, the text content of those documents is transmitted to Anthropic's API for processing. This transmission is encrypted in transit. DATA RETENTION AND AUTOMATIC DELETION [IMPORTANT — highlight this section on your site] 30-Day Automatic Deletion: All uploaded documents, generated reports, and associated session data are automatically and permanently deleted from our servers 30 days after your purchase date. This process runs automatically via a scheduled daily job. No human action is required, and no backup copies are retained after deletion. The following are deleted at the 30-day mark: - All uploaded PDF documents (CC&Rs, policies, assessor records, dec pages) - The generated report text - Your session data and form inputs - Any extracted document text stored during processing Payment records are retained by Stripe in accordance with their terms. We retain only the name, email, HOA name, plan, and purchase date for internal billing records for 7 years as required for tax and business record purposes. We strongly recommend downloading your report before the 30-day window expires. We are unable to recover deleted reports. For consulting engagements, client records are retained for the duration of the engagement and for 7 years thereafter for professional liability and business record purposes. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 6. WHO WE SHARE INFORMATION WITH We do not sell, rent, lease, or share your personal information with third parties for their marketing purposes. Ever. DATA SECURITY We implement the following security measures: - All data transmission is encrypted via HTTPS/TLS - Uploaded documents and reports are stored on secured servers with restricted access - Session identifiers use cryptographically random tokens - API endpoints are rate-limited and protected against common attack vectors - Geographic access restriction limits platform access to United States users - Documents are stored outside the public web root and cannot be directly accessed via URL No security system is impenetrable. CHILDREN'S PRIVACY Our platform and services are intended for use by HOA boards, property managers, and insurance professionals. GOVERNING LAW This Privacy Policy is governed by the laws of the State of Georgia.
